Our summer programs provide a meaningful opportunity for young artists to explore their emotions, build friendships, and develop their confidence through art.
Position Overview
Art With a Heart is looking for a dedicated Special Events Organize to join our summer programming team for an 8-week contract. Reporting to the Recreation Coordinator, this role plays a key part in planning, coordinating and executing community pop up events and Art With A Heart’s Fall Heart Market.
Key Responsibilities
- Assist with the planning, coordination, and execution of Art With a Heart’s Fall Heart Market, including:
- Vendor registration and communication.
- Site layout and scheduling.
- Volunteer coordination and management.
- Securing necessary permits and ensuring compliance with event regulations.
- Collaborate closely with local artists and vendors to ensure they have the necessary resources and support for a successful event.
- Oversee the event day logistics, including setup, vendor support, troubleshooting, and teardown.
- Work with the community outreach team to support and execute community pop-up events, ensuring all events align with the organization’s mission of inclusivity and community engagement.
- Partner with the Marketing Coordinator to promote the Fall Heart Market and related events, ensuring strong visibility and effective outreach to potential attendees.
- Ensure the event aligns with Art With a Heart’s mission of cultural celebration, community connection, and inclusivity.
Qualifications
- Proven experience in event planning and logistics, preferably in a non-profit or community setting.
- Strong organizational and time-management skills, with the ability to manage multiple tasks simultaneously.
- Excellent communication and interpersonal skills, with the ability to work with vendors, artists, volunteers, and community members.
- Knowledge of community event regulations and permitting processes.
- Experience coordinating volunteers and working with diverse teams.
- Ability to troubleshoot and solve problems quickly on event day.
- Passion for community engagement and supporting local artists.
- Ability to work independently and as part of a team to ensure successful event execution.
- Familiarity with social media marketing and event promotion is a plus.
- Knowledge of accessibility and inclusion standards is an asset.
